Crafting an ATS-Compliant Resume: Tips for a Professional Format

Understanding Applicant Tracking Systems (ATS)

An Applicant Tracking System (ATS) is a digital solution employed by employers to gather, analyze, and rank resumes automatically. This tool is vital for managing extensive job applications effectively. If your resume isn’t formatted properly, it risks not reaching a human recruiter despite your qualifications.

Currently, over 90% of mid to large-sized companies utilize ATS programs such as Workday, Greenhouse, or Taleo. Hence, grasping how to optimize your resume for ATS is essential for job seekers in 2025.

1. Select the Appropriate Resume Format

While there are three main formats, not all are favorable for ATS.

  • Chronological Resume: Highlights experience in reverse chronological order. This format is optimal for ATS.

  • Functional Resume: Emphasizes skills rather than experience, often overlooked by ATS.

  • Combination Resume: Blends both approaches but can confuse outdated tracking systems.

For the majority of professionals, a chronological resume remains the safest and most efficient option.

2. Maintain a Clean Design

ATS tools struggle to interpret complex designs, graphics, or fancy layouts. Adopt a straightforward, minimalist design.

  • Stick to standard fonts like Arial, Calibri, or Times New Roman (size 10–12).

  • Refrain from using tables, images, text boxes, or symbols.

  • Opt for black text against a white backdrop.

  • Label sections clearly: Professional Summary, Experience, Skills, Education.

A streamlined design guarantees that your resume is easily parsed by ATS while remaining readable for hiring managers.

3. Incorporate Job-Specific Keywords

ATS software scans resumes for essential keywords pertinent to the job description. Omitting these can lead to your application being overlooked.

Here’s how to optimize:

  • Examine the job listing and identify recurring terms (skills, titles, tools).

  • Weave these keywords naturally throughout your resume.

  • Include both the full term and its acronym—like Search Engine Optimization (SEO).

Example:
For a digital marketing role, integrate terms such as SEO, PPC, Content Marketing, Google Analytics, and Campaign Management.

4. Organize for Scannability

Structure your resume logically. ATS systems favor organization and clear headings.

Suggested Structure:

  1. Full Name and Contact Details

  2. Professional Summary

  3. Core Competencies

  4. Work History

  5. Education

  6. Certifications or Notable Achievements

5. Highlight Quantifiable Successes

Recruiters are particularly impressed by measurable achievements. Replace vague tasks with concrete accomplishments.

Weak Example:

  • Responsible for managing social media accounts.

Strong Example:

  • Increased social media engagement by 120% through a data-driven content strategy.

Always include figures, percentages, or timelines whenever possible.

6. Save in the Correct Format

ATS tools generally accept .docx or .pdf files, though some older systems might reject complex PDF documents.

Best practices include:

  • Save your file as .docx (Word) unless directed otherwise.

  • Avoid saving as an image or scanned file.

  • Name your document professionally: John-Doe-Resume-2025.docx.

7. Keep It Brief

Most recruiters spend under ten seconds reviewing each resume. Keep it concise and targeted.

  • One page for those with less than 5 years of experience.

  • Two pages maximum for seasoned professionals or those in senior positions.

  • Concentrate on the most recent and relevant experiences.

8. Feature a Targeted Professional Summary

Your Professional Summary should succinctly encapsulate your experience and value within two to three sentences.

Example:
Strategic SEO Specialist with six years of experience enhancing website performance and keyword rankings for global clients. Proven expertise in achieving measurable results through content and performance marketing strategies.

Avoid generic terms like “seeking a challenging opportunity.” Instead, underscore your skills and achievements.

9. Highlight Essential Skills

ATS systems prioritize resumes listing relevant skills.

Hard Skills: Project Management, SQL, Data Analysis, SEO, Accounting, Graphic Design.
Soft Skills: Communication, Adaptability, Leadership, Teamwork, Problem Solving.

Utilize a bulleted list and position this section before your work experience if it's a technical role.

10. Test Your Resume

Before submitting your application, leverage free ATS testing tools like Jobscan or Resume Worded to gauge how well your resume aligns with the job description. These platforms provide keyword match percentages and guide you in refining your content pre-submission.

Final Recommendations

  • Tailor your resume for each job application.

  • Utilize clear section headings.

  • Incorporate measurable outcomes whenever feasible.

  • Ensure consistent formatting across all sections.

An ATS-friendly resume is essential for securing interviews. When crafted meticulously, it guarantees that your qualifications are acknowledged by both the system and recruiters.
